Operations and Special Projects Associate/Manager

MOXIE Public Schools is a new public charter school launching in South Portland, Maine in fall 2026. We are building a middle and secondary school system that combines rigorous, competency-based foundational instruction with real-world, interdisciplinary projects and long-term advising relationships. We believe every student deserves an education that is both academically excellent and deeply human. As a founding team member, you will help bring that vision to life from day one.
Role Summary
This is a full-time, founding role at the center of MOXIE's home office. You will add real capacity to a high-leverage CEO, a fast-moving, big-picture thinker who works best with a partner who can catch the goal, confirm it, and carry it to completion. You will help stand up the systems, back-office operations, and rhythms a nonprofit needs to function. While you’ll receive strong support, this is a “jump-in-and-figure-it-out” position with ownership and follow-through.
You will work most closely with the CEO while also serving as connective tissue to the Chief of Teaching & Learning and Chief of School Operations on everything that isn't school-site-specific. Given the startup nature of the environment, expect ambiguity, shifting priorities, and the deep satisfaction of building the plane while flying it. MOXIE works in a modern, tech-forward way, and we expect you to use data systems, AI, and other everyday tools to work efficiently.
Key Responsibilities
Executive Capacity for the CEO
Manage scheduling and calendars for the CEO, senior team, and board of directors
Take in direction that often comes verbally and on the fly, play back key outcomes to confirm goals and approach, translate it into a clear written plan, and then drive execution — holding the through-line so nothing important gets lost.
Handle sensitive and confidential matters with discretion and sound judgment
Fundraising & Development Support
Support the CEO's fundraising by keeping donor and funder records current in a CRM and prompting timely cultivation, outreach, and stewardship
Track grant deadlines, reports, and deliverables, and help assemble and organize supporting materials
Prepare prospect and funder research briefs and prep packets ahead of cultivation meetings
Home Office Operations & Systems
Help build and then run the back-office backbone of the home office — the administrative systems, tools, and workflows a founding organization needs
Own day-to-day finance coordination with MOXIE's accountants, bookkeepers, and payroll provider; process invoices, expenses, reimbursements, and purchasing; and catch and resolve issues, escalating the ones that matter
Coordinate vendors and service providers, track contracts and renewals, and tee up decisions for leadership
Maintain accurate, well-organized records and documentation, and keep them current and easy to find
Help run point with MOXIE's outsourced HR provider, and coordinate onboarding logistics for new staff — accounts, paperwork, equipment, and scheduling
Board & Governance Support
Coordinate logistics for Board of Directors and committee meetings — scheduling, packets, materials, and minutes
Support public-meeting requirements under the direction of leadership: posting notices, agendas, and records in line with Maine open-meeting and public charter school requirements (a senior leader holds legal accountability for compliance)
Track board action items and follow-through between meetings
Cross-Leadership Coordination
Serve as connective tissue across the CEO, Chief of Teaching & Learning, and Chief of School Operations on home-office and cross-functional work
Coordinate senior-team meetings — agendas, notes, and follow-up — and maintain shared priority and project trackers that keep work visible and moving
Help external communications and materials move — drafting and organizing so leaders can refine and send
Founding Team Flex
As a founding home-office team member, this role will grow and change as MOXIE does. In Year 1, expect to step into whatever administrative, operational, and special-project needs arise — always looking for smarter, simpler ways to get things done. Everyone here is building something new; a willingness to jump in is the job.
Additional Responsibilities at the Manager Level: The responsibilities above describe the role at the Associate level. A candidate hired at the Manager level brings more experience and takes on greater ownership, autonomy, and accountability — including:
Owning core functions end to end rather than coordinating them — including serving as MOXIE's primary day-to-day point of contact for accountants, bookkeepers, and the payroll provider, and owning the accuracy of the home office's finance operations
Managing vendor and service-provider relationships directly — evaluating options, negotiating, and recommending decisions rather than routing them up
Designing and standing up new systems and processes from scratch, with limited direction, and improving them over time
Taking operational ownership of board and governance logistics and public-meeting posting, under the board's and senior leadership's legal accountability for compliance
Exercising independent judgment on ambiguous, higher-stakes calls, and escalating only what genuinely warrants leadership's attention
As the home office grows, helping coordinate or guide the work of additional administrative support or contractors
Qualifications
2–4 years of experience in operations, administration, project coordination, executive support, or a comparably fast-moving generalist role
A track record of building or improving systems and wearing many hats — ideally in a startup, campaign, nonprofit, school, or other resource-scrappy environment
Exceptional organization, reliability, and follow-through while juggling many moving parts
Exceptional active listening, synthesis, and project management — you reliably turn verbal, big-picture direction into structure and execution with clear communication
High agency and comfort with ambiguity — you make progress without a playbook and figure things out
Comfortable using everyday software and AI tools to work efficiently, with the judgment to check and edit what they produce (or genuine eagerness to build that fluency)
Discretion and professionalism with confidential information
Commitment to educational equity and MOXIE's mission to serve all of Maine's learners
Additional for the Manager Level: A candidate hired at the Manager level would also bring:
Typically 4–7 years of experience, with a track record of owning a function, office, or operation end to end
Demonstrated experience building systems and processes from scratch, not just running ones already in place
Experience independently managing finance, vendor, or external-partner relationships
Sound, independent judgment in ambiguous, higher-stakes situations, and comfort being the accountable owner
Experience guiding the work of others — staff or contractors — a plus
Additional Preferred
Experience supporting a CEO, founder, or senior leader
Experience in education, nonprofit, startup, or other mission-driven founding environments
Exposure to fundraising or development operations — donor CRMs, grants, or funder stewardship
Experience with finance coordination, bookkeeping, expenses, or vendor and office administration
Associate's or Bachelor's degree, or equivalent professional experience
Compensation & Benefits
Starting salary in the range of $57,000–$70,000, based on experience and consistent with MOXIE's compensation philosophy: transparent, equity-grounded pay that reflects the value of every team member.
The role is leveled to the selected candidate — generally $57,000–$62,000 at the Associate level and $66,000–$74,000 at the Manager level, based on the experience, ownership, and scope they bring.
